These measures are in place to manage the risk of Covid-19 transmission for organised meetings and events at Church House Westminster.
VISIBLE AND ENHANCED CLEANING
In line with current UK government advice and in partnership with our cleaning supplier, Principle, which holds a number of ISO accreditations for hygiene and cleaning, we have bolstered our safety procedures procedures and deep-cleaning protocols to cover:
- the set-up and breakdown of event spaces, before, after and during events
- communal areas and high touch surfaces
- shared audio-visual equipment between each use,
- provision of ample hand sanitiser stations throughout the venue, including restrooms, catering areas and event spaces,
- provision of specific waste bins and waste management for face masks and other PPE items.
- removal of conference stationary as well as hand-held microphones
- maintenance of good ventilation and environmental controls
DEDICATED TRAINING OF OUR TEAMS
Professional Covid-secure coordination of events at Church House include monitoring physical distancing, adhering to the correct use of PPE, and applying Covid-19 risk assessments and new procedures for events and the work place.
Our training recommends the use of:
- online registration,
- staggered arrival, breaks, and departure times,
- optimised visitor flow, one-way entrances and exits clearly sign posted, event layouts that comply with physical distancing, and managing session capacities
- enhanced first aid to offer additional support on the day.
We work together with organisers to establish a current local Covid-19 alert level for each event and in the event of a suspected case our operations and event teams on-site will follow government advice.
PHYSICAL DISTANCING MEASURES IN PLACE
Our 19 versatile event spaces allow for effective physical distancing. We have reconfigured all room plans and capacities to adhere to current Government advice. Event signage serves to amplify physical distancing advice throughout the venue and we are providing dedicated “collection” and “dropping-off” points where possible to minimise contact and touch points.
HYBRID EVENT TECHNOLOGY
Our experienced in-house team is here to assist and help organisers to help navigate the new virtual landscape.
Recent and substantial investment in new event tech allows organisers to successfully harness the benefits of virtual and hybrid events to provide new ways for participants to experience events and engage with content. Hybrid events marry the best of connecting in-person and virtual audiences for events. Live streaming options are available to organisers as well as internet upload speeds of 10Mbps to facilitate broadcasting opportunities.
GRAB AND GO CATERING IDEAS
Individually portioned grab-and-go ideas ensure that food is safely pre-packaged, utilising closed containers and minimising contact. We also offer private catering spaces and our catering partner, CH&CO, holds a relevant hygiene accreditation, which means that the safety of your events is paramount when it comes to our updated hygiene and service procedures.
COLLABORATION AND EXTRA CARE
We have taken additional steps to ensure organisers can book events with confidence, including the addition of a new Covid-19 clause within our terms and conditions which offers plenty of flexibility for rescheduling of events with a money-back guarantee
In our commitment to facilitate contact tracing, we ask that event organisers keep a record of attendees and on-site speakers for 21 days. Organisers can choose to use the NHS Test and Trace QR code, as well as providing an alternative check-in method to collect details of those who don’t have the app in order to manage delegate contact information easily and safely.
We also commit to providing organisers, guests, and visitors with comprehensive pre-visit guidance, as well as displaying on-site event signage and videos to demonstrate our Covid-secure measures on the day of the event. These include temperature screening of delegates on arrival and compulsory face coverings.
